JOB SUMMARY
Plays an integral role in ensuring the smooth and successful operation of ASAE Business Services, Inc. (Services) and professional management of the ASAE Business Services, Inc. (ABSI) and the ASAE Insurance Company (AIC) Boards of Directors. Responsible for providing a full range of high quality operational, administrative, and meeting planning services. Also serves as Services? concierge, providing outstanding customer service for Endorsed Business Solution partners, CareerHQ.org customers, and others.

PRINCIPAL FUNCTIONS
Business Operations & Office Management:
? Supports the Director in managing daily business operations, including the budget, annual audit, plan of work development and updates, all ASAE board reports, and board-related matters for ABSI and AIC.
? Provides a full range of administrative support services for the Services Team.
? Collaborates with Director to organize department team meeting schedules. Creates agendas, minutes, and meticulous notes of each meeting for the Services Team.
? Participates in team initiatives for the ASAE Annual Meeting.
Customer Service & Relationship Management:
? Acts as first point of contact for Endorsed Business Solution partners and triages requests as appropriate ? either responding directly or by engaging other ABSI and/or ASAE staff, to ensure timely, accurate response.
? Acts at first point of contact for CareerHQ.org and triages requests from job seekers, employers, and others as appropriate ? either responding directly or by engaging other ABSI and/or ASAE staff, to ensure timely, accurate response.
? Responds to other inquiries as needed ? either directly or by engaging other ABSI and/or ASAE staff, to ensure timely, accurate response.
Governance:
? Serves as a liaison to the ABSI and AIC Boards of Directors:
o Coordinates all communications to the boards.
o Follows-up with boards on action items.
o Ensures Board members? information is current and correct in Services? records.
? Supports the President and Director in all aspects of Board meeting preparation:
o Schedules ABSI and AIC board meetings and conference calls.
o Coordinates board book assembly and logistics for board meetings.
o Ensures all board reports are delivered to the President on time.
o Handles all post-Board meeting logistics, including processing of travel and other meeting-related expenses.
General Meeting & Event Planning:
? Supports the Services Team with the management of in-person events, including, but not limited to, researching locations, arranging for room space, placing catering orders, placing audio visual equipment orders, and preparing meeting materials.
? Acts as Service?s primary point-of-contact with the ASAE Conference Center for departmental in-person events (placing room, A/V, and catering orders). Ensures prompt delivery of event invoices by the Conference Center.
? Supports the Services Team with the management of their conference calls, including, but not limited to, scheduling calls, and preparing and sending out call access instructions and other materials.
Support of President and Director:
? Manages the President?s and Director?s day-to-day meeting logistics (scheduling, food, AV needs etc.).
? Assists President and Director with organization of contract and departmental record files, both electronic and hard-copy.
? Assists President and Director with making travel and other arrangements as needed.
Other:
? Serves as a backup to the ABSI Program Management Coordinator as needed, which may include, but is not limited to: pulling lists for promotions, sending promotions, helping to conduct industry research, creating education session records in database, updating the ABSI web pages as needed, assisting with webinars and in-person events.
? All other duties as assigned and related to the mission and purpose of ASAE, its divisions, and members.
